Small society lottery limits are £20,000 of ticket sales in a single draw and £250,000 aggregate ticket sales in a year. At £5.00 per ticket, that means no more than 4,000 tickets in one draw and 50,000 ticket-payments in a year.
Prize cap
No single prize, donated prize, or rollover prize may be worth more than £25,000. The 200 Club does not use rollovers for this launch, and the draw code refuses to save a prize above this cap.
Capacity safeguard
If the 200 Club reaches capacity, new applications are held as waiting-list interest. Payment instructions are sent only when a place becomes available.
Tickets
After payment is reconciled, WordPress assigns tickets at random from the unused Salcombe-prefix pool: SE, CH, WD, SS, NS, FC, SC, and MB, each with 000 to 999. That gives 8,000 possible tickets. Operators cannot choose tickets. Every allocation is written to the record log, and tickets are never silently reused.
Ticket record
Tickets are issued by email after payment reconciliation. The ticket email includes the society, ticket price, responsible organiser name and address, draw timing, registration, payment reference, and tickets, and can be saved or printed as the player ticket record.

Sales channel
Applications are taken online through the Cliff House website, with payment by standing order after application. Street sales are not allowed. Offline sales, door-to-door sales, or participation from outside Great Britain need trustee/legal approval before use.

No External Lottery Manager is appointed for this launch. If that changes, trustees must record the ELM details and licensing position before operation.

Prize split
Each month, 50% of received subscriptions is prize money: 1st prize 25%, 2nd prize 15%, and 3rd prize 10% of that month's subscription income.
Records retention
Lottery returns, draw packs, ticket registers, and regulatory evidence are normally kept for three years from the draw. Payment reconciliation, prize payments, and other accounting records are kept for six years after the relevant financial year. Unpaid or cancelled applications are normally removed after 12 months unless a complaint, legal hold, or regulatory enquiry requires longer.
Annual proceeds
After each calendar year, the proportion of lottery proceeds returned to Cliff House Trust purposes will be published on the 200 Club page or in the annual report.
The official private 200 Club Drive vault is live. Automatic snapshots, manifests, folder access, and a full recovery download were verified on 22 July 2026. The vault has no public or whole-domain sharing.

A ticket is eligible only after the subscription payment is recorded and reconciled by an authorised administrator.

Commerce separation
WooCommerce must not sell, allocate, reconcile, refund, or report Cliff House 200 Club lottery entries. 200 Club applications, payment references, tickets, eligibility, draws, returns, and records stay in the 200 Club plugin ledger.
Draw method
After the payment cut-off, WordPress locks the paid eligible ticket pack and stores its SHA-256 hash. At the point of no return it creates a 32-byte cryptographic random seed. Each ticket is ranked by HMAC-SHA256(draw_record_id|ticket_number, seed), lowest hash first, with ticket number as the deterministic tie-breaker. The top three ranks win 1st, 2nd, and 3rd prizes. The seed, seed hash, pack hash, and eligible ticket list are published so the result can be reproduced.
Live draw room
The Draw Room animates the already-selected server result. The browser displays winners; it never chooses them.
Monthly return
Lottery return form due to South Hams District Council no later than three months after each draw. Each published draw creates a return draft containing proceeds, prizes, costs, good-cause amount, and signatory fields.

The live ledger stays in WordPress. Evidence packs are archived in the private 200 Club records vault for authorised review. Automatic private Drive snapshots follow material 200 Club record changes and run daily as a fallback. Operators can also save formal draw evidence packs. Each upload includes a SHA-256 manifest and is recorded in the audit trail.
